Introduction
With Smart Collections, you can choose a series of parameters and assets will be added to the Smart Collection automatically. This feature makes it easier for you to add many related assets to a collection and automatically sort newly synced assets into the right collection.
Creating a Smart Collection
You can create a smart collection two different ways: via the Sidebar or from the Collections page.
Option 1: Via the Sidebar
Step 1: Navigating the Sidebar
From the main dashboard, navigate to the sidebar on the left side of the page. Click 'Library' to open the slide-out menu. Beside 'Collection', click on the plus icon to create a new Collection.
Step 2: Select 'Smart Collection'
In the 'Create Collection' slide-out menu that has now appeared on the left side of the page, give the new collection a name and select 'Smart Collection'.
Step 3: Set Conditions
In the same slide-out menu, click on the blue button which says 'Set Conditions'. The following modal will appear.
From this modal you can set the conditions for your Smart Collection. We will go into more detail about conditions later in this article. For this example, we have selected one condition, 'File extension is png'. When you have finished setting up the conditions for your Smart Collection, click 'Done' in the bottom right corner.
Step 4: Create Smart Collection
After setting your conditions, you will be returned to the 'Create Collection' slide-out menu. You will see the conditions you have just set will have appeared on the menu. Click on 'Create' in the bottom right corner of the menu to create your Smart Collection.
After clicking 'Create', you will be taken to the Collections page. Your new Smart Collection will have appeared.
You can click on the Smart Collection thumbnail to open it. Inside, you can see that all the assets that agree with the conditions set have appeared in the Smart Collection. In this case, all the PNGs in this team have appeared.
Option 2: From the Collections Page
Step 1: Navigating to Collections
From the main dashboard, navigate to the sidebar on the left side of the page. Click 'Library' to open the slide-out menu. Click on 'Collection' to drop down more options and click on 'View All'.
This will take you to the Collections page.
Step 2: Click 'Create Smart Collection'
Click on the button which says 'Create Smart Collection'. This will open the 'Create Collection' slide-out window on the right side of the page.
Step 3: Select 'Smart Collection'
In the slide-out menu, give the new collection a name and select 'Smart Collection'.
Step 4: Set Conditions
In the same slide-out menu, click on the blue button which says 'Set Conditions'. The following modal will appear.
From this modal you can set the conditions for your Smart Collection. We will go into more detail about conditions later in this article. For this example, we have selected one condition, 'Source is Google Drive'. When you have finished setting up the conditions for your Smart Collection, click 'Done' in the bottom right corner.
Step 5: Create Smart Collection
After setting your conditions, you will be returned to the 'Create Collection' slide-out menu. You will see the conditions you have just set will have appeared on the menu. Click on 'Create' in the bottom right corner of the menu to create your Smart Collection.
After clicking 'Create', you will be taken to the Collections page. Your new Smart Collection will have appeared.
You can click on the Smart Collection thumbnail to open it. Inside, you can see that all the assets that agree with the conditions set have appeared in the Smart Collection. In this case, all the assets from Google Drive in this team have appeared.
Conditions
A Smart Collection can have any number of conditions. When you create a new Smart Collection, one condition appears automatically but you can add more by clicking 'Add Condition' on the right side of the modal.
Furthermore, the Smart Collection can be set contain assets that match all or any of the conditions set. You can change this from the drop down menu where it says 'Match all/any of the following conditions:'.
Conditions can be set on the following criteria:
Asset name
Finds assets by their name. This condition can be qualified as follows:
Asset name is
Returns assets with names matching the value entered.
Asset name is not
Returns assets with names that do not match the value entered.
Asset name contains
Returns assets with names that contain the value entered.
Asset name does not contain
Returns assets with names that do not contain the value entered.
File path
Assets from certain sources will provide a file path under the 'Source Info' tab on the Asset Dashboard. Look for the long link next to where it says "download_url".
NB: The file path is contained within the quotes ("") but does not include them.
This condition can be qualified as follows:
File path is
Returns assets with file paths matching the value entered.
File path is not
Returns assets with file paths that do not match the value entered.
File path contains
Returns assets with file paths that contain the value entered.
File path does not contain
Returns assets with file paths that do not contain the value entered.
File extension
Find assets by their file extension. File extension typically corresponds to the file type (mp3, png, etc.) but you can always check an assets file extension on the 'Media Info' tab on the Asset Dashboard.
This condition can be qualified as follows:
File extension is
Returns assets with file extensions matching the value entered.
File extension is not
Returns assets with file extensions that do not match the value entered.
File extension contains
Returns assets with file extensions that contain the value entered.
File extension does not contain
Returns assets with file extensions that do not contain the value entered.
Date synched
Find assets by the date they were synced to Medialake. The specific time an assets was synced can be found on the 'Media Info' tab on the Asset Dashboard, next to where it says 'File Modified Date'.
This condition can be qualified as follows:
Date synched is
Returns assets synched on the date given.
Date synched is not
Returns assets not synched on the date given.
Date synched is before
Returns assets synched before the date given.
Date synched is after
Returns assets synched after the date given.
Date synched is between
Returns assets synched between the dates given.
Date synched is not between
Returns assets not synched between the dates given.
Date created
Find assets by the date they were originally created. This date can be found on the right side of the page on the 'Summary' tab on the Asset Dashboard.
This condition can be qualified as follows:
Date created is
Returns assets created on the date given.
Date created is not
Returns assets not created on the date given.
Date created is before
Returns assets created before the date given.
Date created is after
Returns assets created after the date given.
Date created is between
Returns assets created between the dates given.
Date created is not between
Returns assets not created between the dates given.
Source
Find assets by the service they were synced from. You can also distinguish between different accounts on the team synching from the same service.
This condition can be qualified as follows:
Source is
Returns assets from the source given.
Source is not
Returns assets not from the source given.
Asset owner
Find assets by their owner. The owner can be found on the right side of the page on the 'Summary' tab on the Asset Dashboard.
This condition can be qualified as follows:
Asset owner is
Returns assets from the owner given.
Asset owner is not
Returns assets not from the owner given.
File size
Find assets by their file size in bites. The precise size of any asset can be found on the 'Media Info' tab on the Asset Dashboard.
This condition can be qualified as follows:
File size is
Returns assets with file size equal to the value entered.
File size is not
Returns assets with file size not equal to the value entered.
File size is greater than
Returns assets with file size greater than the value entered.
File size is less than
Returns assets with file size less than the value entered.
File size is greater than or equal to
Returns assets with file size greater than equal to the value entered.
File size is less than or equal to
Returns assets with file size less than or equal to the value entered.
