Give Medialake read only partner access to Meta assets

Use this guide to share your Facebook Pages, Instagram professional accounts and Meta ad accounts with Medialake's business portfolio for read-only access.

Your organisation keeps ownership of its assets. You grant access through Meta's partner-sharing feature; you do not need to transfer ownership or share your login details.

Enter this number when Meta asks for the partner's business portfolio ID or Partner business ID.


Before you start

  • Have someone with Full control of your organisation's business portfolio complete these steps. Access to an individual Page or ad account alone is not sufficient to add a partner. Medialake only needs the partial permissions listed below.

  • Check that the assets belong to your organisation's portfolio. An agency that only has partner access cannot share those assets with another business; the owning business must grant access.

  • For Medialake's Instagram connection, use a professional account, either Business or Creator, linked to a Facebook Page. Have both the Instagram account and its linked Page available to share. See Instagram authentication for the connection requirements.

  • Enable two-factor authentication for your business portfolio if it is not already enabled.

If an asset is missing, ask your portfolio administrator to check its ownership and setup before continuing.


Required permission levels

Choose Partial access for each asset, then enable only the task shown below. Partial access can include editing permissions, so selecting that access level alone does not make access read-only.

View performance for the Instagram account, its content and ads.

Meta ad account

Partial access → View performance

View ads and access reports. This is also known as Analyst access in interfaces that use ad account roles.

These selections follow Meta's business asset permissions reference. Expand Page, Instagram account or Ad account to see the available tasks.

Leave every other permission off. This includes Content, Community activity, Messages or Messages and calls, Ads, Revenue, Creator management, Creator content, Manage campaigns and Manage Creative Hub mockups. Do not enable Full control, Manage ad accounts or additional finance access for this setup.

If Meta does not offer the specified read-only task, contact [email protected] before choosing a broader permission.


Add Medialake as a partner

  1. On a computer, open Meta Business Suite settings and select your organisation's business portfolio.

  2. In the left menu, go to Users → Partners.

  3. Select Add, then Give a partner access to your assets.

  4. Enter 555180173196396 and select Next. If Meta shows the partner's business details, check them against the details supplied by your Medialake contact.

  5. Choose the assets to share and set the permissions described in the next section.

If Medialake is already listed as a partner, select that partner and use Assign assets to add the required assets. Review any existing permissions as well.

Meta's partner-sharing instructions describe this process. Depending on your interface, settings may be labelled Business settings.


Select assets and assign read only permissions


Facebook Pages

  1. Select Pages and choose each Facebook Page in scope.

  2. Open the permissions for each selected Page.

  3. Under Partial access, enable Insights only. If shown, use Partial access with business tools only.


Instagram accounts

  1. Select Instagram accounts and choose each professional account in scope.

  2. Under Partial access, enable Insights only.

  3. For a Medialake Instagram connection, also select the linked Facebook Page under Pages and give it Insights access as above. Check both assets individually; selecting one does not confirm that the other has been shared.

If Meta asks you to log in to Instagram to manage its access settings, have the account owner complete that step within Meta. Do not send the password or authentication codes to Medialake.


Meta ad accounts

  1. Select Ad accounts and choose each account in scope. Check the account ID, especially where account names are similar.

  2. Under Partial access, enable View performance only.

  3. Leave Manage campaigns, Manage Creative Hub mockups and Manage ad accounts off.

An ad account, a Facebook Page and an Instagram account are separate assets. Share each required asset explicitly. An ad account assignment does not by itself grant access to the Page's or Instagram account's organic content and insights.


Save and confirm

  1. Review the asset list and the permission settings for every selected asset.

  2. Select Assign assets. Some interfaces use Save changes.

  3. Complete any approval Meta requests. Meta may require another person with full control of your portfolio to approve the assignment.

  4. Return to Users → Partners, select Medialake and review the assets assigned to it. Confirm that each Page and Instagram account has Insights only, and each ad account has View performance only.

  5. Tell your Medialake contact which Page names or IDs, Instagram handles and ad account IDs you shared. We can then check that the intended assets are accessible.

If Medialake already had broader access, remove those additional permissions. Also review any separate direct user access: a read-only partner assignment does not remove permissions granted through another route.


Complete the Medialake connection

Partner sharing makes the selected assets available to our business portfolio. Connecting a source in Medialake and authorising the Medialake app are separate steps. These partner permissions do not, by themselves, complete a content sync or grant every app permission it may require.

If you cannot complete a step

  • Partners is missing or sharing is disabled: check that you selected the correct business portfolio and that the person completing the setup has full control of it.

  • An asset is missing: check the owning portfolio. If another business owns it, ask that business's administrator to share it directly with Medialake.

  • Instagram permissions are unavailable: check that the account has been added to your portfolio and complete any login request shown in its settings. For the Medialake connection, also check the professional account status and linked Facebook Page.

  • An assignment is awaiting approval: ask the additional portfolio administrator identified by Meta to review it.

  • Meta only offers broader permissions: keep the existing access unchanged and contact Medialake to review the available options.


Remove partner access

An administrator with full control of your portfolio can withdraw access:

  1. Open Meta Business Suite settings and go to Users → Partners.

  2. Select the Medialake partner with business ID 555180173196396.

  3. Open Options → Remove from business portfolio.

  4. Confirm with Remove partner.

See Meta's instructions for removing a partner. This removes access granted through that partnership. If you also connected the Medialake app or invited individual users, review those permissions separately using the authentication guides above.
